Workday

We have included several notes lately about the new HR system (called Workday) being launched here at Ohio State. This new system has been in the works for nearly 5 years and completely transforms how the entire University functions in all business areas.

Along with this new HR system on campus comes a new employee facing HR portal. This new website (https://workday.osu.edu ) was launched last winter while we were all away. All previous information from the old HR system was transferred to Workday automatically. Your direct deposit and W4 withholdings would have transferred over. Please double check all information in workday. Be sure to bookmark this link so you can get to it down the road as needed. This new website is where, going forward, you will:

• Update direct deposit accounts as needed
• View/Download your pay slips
• View/Download W2s (once released later this month and only if you signed up for electronic delivery)
• Change/Update your W4 tax withholdings
• Update preferred email address, personal phone and mailing address

Logging into Workday: Workday uses your HR login information to access the site. This would be your University name.# like smith.1234 or cross.476, in my case... If you need to reset the password for your University username to get into Workday, you can visit https://my.osu.edu or call 614-688-4357. They can also help if you are unsure of what your University username would be. You will also need https://buckeyepass.osu.edu/ to log in. You will need to download an app to your phone or tablet to have a two factor authentication. Please follow the instructions on https://buckeyepass.osu.edu/ to download and register Duo

Using Workday: Once logged into https://workday.osu.edu, you will generally click the big “PAY” icon. This will lead you to where you can view those pay slips, tax documents (W2s), payment elections (direct deposit), and withholdings elections (W4 withholdings).

W2 Tax Information: Ohio State is required to furnish all employees with a Form W-2 showing their compensation and tax withholding amounts for the calendar year by January 31, 2022. W2 forms are expected to be posted online at https://workday.osu.edu or mailed sometime AFTER January 3 but before January 31. Emily or I do not have access to your accounts and we are unable to download or mail your W2. We are unable to answer any questions regarding when/if/where your W2 is being issued. For payroll/W2 questions, contact the Ohio State HR at 614-247-6947. 

 
Pay Stubs: We cannot access your pay stubs or see where your pay has been deposited. If you have a question on your paystub, please ensure you attached a copy to your email communication to us or bring in a screen shot of the paystub so we can assist you. 614-247-6947 is the payroll number in the event you have questions about direct deposit.

W2 Tax Form

Ohio State is required to furnish all employees with a Form W-2 showing their compensation and tax withholding amounts for the calendar year by January 31 of the following year. Here is some important information for you regarding your W2.

Online: If you have received your W2 in the past by downloading it online, you do not need to do anything! You will be able to login to the HR website at http://workday.osu.edu and receive your W2 sometime before January 31^st. If you have received it by mail in the past, you will need to login to Workday to consent to receive it electronically. Click here for those instructions.

By Mail: If you have received your W2 by mail in the past (this is the default for any employee who has not signed up for online W2s as mentioned above) and would like to continue receiving it via mail, you do not need to do anything. W2s will be mailed out sometime in January.

Moved Addresses During The Year: If you moved during the year and did not update your mailing address on the HR website, you should login now at http://workday.osu.edu and update it. The USPS will not forward W2 to new addresses – it will be returned to the University if you have moved and did not update your address.

Questions: The Event Production Team does not have access to your accounts and we are unable to update your address, download or mail your W2, or setup your direct deposit. We are unable to answer any questions regarding when/if/where your W2 is being issued. For payroll/W2 questions, contact the Ohio State HR at 614-247-6947.

If you have questions about logging into the HR website and have username or password issues, visit http://my.osu.edu. Remember, the HR website uses your ‘smith.111@osu.edu’ username and password – it does not use your personal email address.
